About Client

Our client is a US based firm who manages and handle Seminar Campaigns all around the Country. They manages planning, requirements, resources, visitors and members, tracking and history data of their seminars with the MS Dynamics CRM 2011. They are selling a specific group of investment products through direct distribution to the public. The primary method of distribution was through investment Seminars Campaigns which are planned and conducted by them at local restaurant venues.

Seminar awareness/advertising were primarily generated through direct mail. Other methods such as pay per click, email blasts and educational website will be developed in the future but are not part of the requirement for now. Right now they are focused on the seminar planning process and integration of direct mail advertising to facilitate seminar attendance. Other channels of advertizing the seminars will be covered at later stage of agreement.

Situation

Initially, they were conducting seminars on an ad-hoc basis (as needed). Within one year, they wanted to ramp the number of Seminar Sessions to three nights a week for approximately 40 weeks per year in each of four initial Territories. They have conducted over 100 seminars over the past decades. Therefore, while this is the first time they wanted to conduct seminars on this scale, we very clearly understand the processes, procedures and workflows necessary to conduct successful seminars. The requirements below result from years of well documented manual processes that they now wish to automate. They wanted a CRM which would need to assist in all aspects of planning, execution and follow up, including but not limited to:

  • Timing and scheduling of Campaigns and related Sessions
  • Venue screening, selection, scheduling, setup, execution and payment
  • Personnel assignments, scheduling, accountability, approvals and performance monitoring
  • Event coordination, information capture, tracking and success measurement
  • Lead generation and capture through interface with website (via direct customer input or through call center assistance)
  • Post event sale support and revenue tracking
  • Post event performance measurement
  • Future mining of Clients, Contact and Leads
